Visa & Work Permit Coordinator

The Zophia Wind Farm is a combination of green energy, community well-being, and environmental protection. It is located in the southern part of Ukraine in the Yakimivka District of the Zaporizhia region and will start construction of Zophia I and II in July 2021 representing 337.5 MW. Once built and operated, it will produce about 1.25 GWh of electricity, enough to power over 627,000 Ukrainian households. In the future, it can be a 788 MW high impact project with a load factor of +42%.

Emergy – Sustainable Stories, is a Norway-based company that develops, operates and owns large-scale wind farms in South-East Europe. Emergy has ambitious goals when it comes to renewable power, and aims to have 2 GW of wind projects in operations by 2025. Currently, the company has two projects in operation or construction in Ukraine and several projects in development in several South-East European countries.

Visa & Work Permit Coordinator Profile

As Visa & Work Permit Coordinator, you will be a focal point responsible for assisting the Zophia Project employees with all visa and work permit issues, as well as supporting the HR Manager with HR admin-related activities.

This position is based in Kyiv.

 

Visa & Work Permit Coordinator Job Duties:

  • Initiating coordinating all schedule and process of Visa and work permit applications, identifying and solving all issues that may arise during the process
  • Supporting and guiding employees with all necessary documents to apply for work permit and Visa according to Ukrainian legislation
  • Establishing and maintaining good relations with external parties involved in Visa and work permit process to ensure all application procedures and negotiations are timely finalized
  • Working closely with the HR Manager and providing support with all HR-related tasks, in particular managing HR-related documents
  • Supporting the HR Manager with coordinating lawyers, auditors and finance departments related to offers, contractual issues for foreign citizens working for/with the Zophia project
  • Providing support to employees in various HR-related topics and resolving any issues that may arise
  • Managing HR and admin information flow amongst all the parties involved in the process and ensuring that all HR data relevant to the project is accurately gathered and recorded using internal databases
  • Ensuring all processes and procedures are followed to meet legislative, internal quality and compliance requirements
  • General HR-related Zophia internal admin task and support

 

Visa & Work Permit Coordinator Skills and Qualifications:

  • Degree level qualification in Human Resources, Business Administration or other related fields
  • Demonstrable experience (+3 years) in HR field, preferably in a similar capacity on a large renewable, infrastructure project
  • Experienced in Visa & Work Permit process
  • Experience with Human Resources metrics and knowledge of HR systems and databases
  • In-depth knowledge of Labour Code of Ukraine and other related legislation (understanding particularities of contract types, overtime management, payment schedules, etc.), as well as HR best practices
  • Fully competent with MS Office Suite
  • Working experience in former-FSU/CIS countries
  • Motivated, highly organized individual with strong communication and excellent active listening skills for working in a team setting
  • Self-starter who is confident to take a lead and operate in an ambiguous environment
  • Ability to work within a culturally diverse environment
  • Working language is English while being proficient in the Ukrainian language is an advantage
